Pharmacy Manager Mission – Kenya

MSF France seeks to fill the position of Pharmacy Project Manager based in Nairobi with frequent travel to projects. The successful candidate reports to the Medical Coordinator (Medco).

Purpose of the position:

Define, coordinate and control all pharmacy-related activities in the Mission in accordance with MSF standards and values, the instructions of the Medical Coordinator and taking into account national and international laws and regulations: in order to ensure quality and good organization processes, procedures and protocols, the proper management of medical stock in projects and, in collaboration with the medical coordinator, the proper use of drugs and medical equipment.

Responsibilities include, but are not limited to:

  • Ensure close monitoring of the National Drug Supply; Support the project Pharmacists prepare the pharmacy’s annual plan and budget, ensuring forecasts are up to date with future project plans.
  • Oversee the operation of pharmacies across the mission, ensure the proper application of MSF safety standards, including pharmacovigilance and waste management monitoring protocols, and national and international legislation, in order to ensure quality of service returned to the population and the precise handling of drugs and products, including their proper disposal, in terms of hygiene and safety.
  • Support the Medical Coordinator regarding monitoring of EPREP planning and maintenance of emergency medical kits.
  • Ensure data collection for tracking and monitoring optimal quantity and quality of drug use. Support activities for effective drug distribution and control, quality prescribing (rational use of drugs), medication reconciliation, antibiotic stewardship interventions such as review of restricted antibiotics, monitoring of pharmaceutical care plans, patient counselling, good dispensing practices and safe medicine practices.
  • Monitor the supply process and take corrective action if necessary, ensure regular communication with medical, logistics, HR and finance departments regarding medical supply and pharmacy management. Make sure local purchases are made from trusted sources.
  • Be responsible for the proper maintenance of all drugs and equipment in pharmacies and for the proper storage and management of the supply of narcotic and psychotropic drugs in compliance with national legislation, allowing the traceability of these specific products.
  • Facilitate proper inventory management and transportation/storage procedures, ensure inventory availability across all projects and avoid expirations/overstocks and stock-outs. In close collaboration with the logistics department, supervise storage conditions, classification, organization and inventory. Responsible for monitoring loans/donations and managing expired drugs according to MSF procedures (and national legislation in case of expired drugs).
  • Plan and supervise, in close coordination with the HR department, the associated processes (recruitment, training/integration, evaluation, detection of potential, development and communication) of the personnel under his responsibility in order to ensure both the sizing and the amount of knowledge required.
  • Participate in reporting according to MSF guidelines (SitReps, medical statistical reports, etc.) and reports on drug consumption and medical devices issued according to protocols, informing about unusual patterns.
  • In collaboration with SKID (Supply Kenya Intersectional Department) follow-up of the reception of international cargoes and local purchases to cover the needs of the mission.
  • Support the field for the preparation of international orders, ensuring that it matches and covers the needs of the projects.

Knowledge and experience

Essential: Minimum 2 years of demonstrable experience in hospital pharmacy management. Previous experience with MSF or other NGOs in developing countries desirable. Proficiency in the use of MS Office (Excel, Word, Internet). Knowledge of the “Isy stock” an additional asset
